PRODUCT RETURN AND REFUND POLICY

EFFECTIVE DATE: March 25, 2025

1. RETURN PERIOD AND ELIGIBILITY

1.1 Standard Return Period

DK Equipment USA accepts returns of eligible products within 30 calendar days from the date of delivery. Products returned after this period will not be eligible for refund or exchange.

1.2 Condition Requirements

To qualify for a return, items must:

  • Be in new, unused condition

  • Include all original packaging, manuals, accessories, and parts

  • Have all original tags and labels attached

  • Show no signs of installation, tampering, or modification

2. EXCLUSIONS AND EXCEPTIONS

2.1 Non-Returnable Products

The following products cannot be returned under any circumstances:

  • Electrical components, including but not limited to motors, inverters, switches, control boards, and monitoring systems

  • Custom-ordered or specially manufactured items

  • Products altered, modified, or cut to specification

  • Chemicals, solvents, cleaning agents, or any consumable products once opened

  • Software, digital products, or downloadable content after access has been provided

  • Clearance items marked as "Final Sale"

2.2 Defective Electrical Components

While electrical components are generally non-returnable, if you receive a demonstrably defective electrical component, please contact our technical support department immediately. We will:

  1. Troubleshoot the issue remotely

  2. If confirmed defective, require 30 days to analyze the product and conduct an investigation

  3. Determine whether repair, replacement, or refund is appropriate based on manufacturer policies

3. RETURN PROCEDURE

3.1 Initiating a Return

To begin the return process:

  1. Contact our customer service department within the 30-day return period via phone or email

  2. Provide your order number, product information, and reason for return

  3. Receive a Return Merchandise Authorization (RMA) number

  4. Complete the return form provided by our customer service team

Important: Returns without an RMA number will not be accepted and may be returned to sender at the sender's expense.

3.2 Return Methods

3.2.1 Return by Mail

Package the product securely in its original packaging with all components and include the completed return form. Ship the package to:

3.2.2 In-Person Return

Returns can be processed at our San Leandro warehouse during regular business hours. Please:

  • Call at least 24 hours in advance to schedule your return

  • Bring the product in its original packaging with all components

  • Bring proof of purchase and your RMA number

  • Be prepared to complete any necessary paperwork on site

3.3 International Returns

For customers outside the United States:

  1. Contact customer service before initiating a return for special instructions

  2. You are responsible for all international shipping costs, duties, and taxes for returned items

  3. Please mark packages as "Returned Merchandise" to facilitate customs processing

  4. Additional processing time of 10-15 business days should be expected for international returns

4. FEES AND DEDUCTIONS

4.1 Restocking Fee

A 15% restocking fee will be assessed on all returned products except in cases where:

  • The product received was defective upon arrival

  • We shipped an incorrect product

  • The product was damaged during shipping (with appropriate documentation)

4.2 Return Shipping Costs

Customers are responsible for all return shipping costs unless:

  • The return is due to our error (wrong item shipped or defective product)

  • A different arrangement has been approved in writing by our customer service department

The cost of return shipping will be deducted from your refund if we arranged return shipping on your behalf.

5. REFUND PROCESS

5.1 Inspection Period

All returned products undergo a thorough inspection upon receipt. This process typically takes 3-5 business days. For technical equipment, additional testing may be required, extending this period to up to 10 business days.

5.2 Refund Methods

Refunds will be issued to the original payment method:

  • Credit card payments: 5-7 business days for processing

  • Bank transfers: 7-10 business days for processing

  • Company checks: 10-14 business days for processing

5.3 Refund Amount

The refund amount will include:

  • The original purchase price of the eligible returned product

  • Less the 15% restocking fee (if applicable)

  • Less the cost of return shipping (if paid by DK Equipment USA)

  • Less any damage deductions for items returned in non-original condition

5.4 Partial Refunds

Partial refunds may be issued when:

  • Items are returned with missing components or accessories

  • Products show signs of use, installation, or modification

  • Original packaging is damaged or missing

  • Products have been opened and cannot be resold as new

6. EXCHANGES AND REPLACEMENTS

6.1 Exchange Process

We do not process direct exchanges. If you need a different product:

  1. Return the original item following the standard return procedure

  2. Place a new order for the desired item

6.2 Replacement of Defective Items

For defective items within the warranty period:

  1. Contact our technical support department for troubleshooting

  2. If the item is confirmed defective, we will provide return instructions

  3. After receiving and inspecting the defective item, we will ship a replacement

7. TECHNICAL EQUIPMENT CONSIDERATIONS

7.1 Boiler Equipment

Due to safety regulations and the specialized nature of boiler equipment:

  • Items that have been connected to water, steam, or gas systems cannot be returned

  • Products must be inspected by qualified personnel before installation

  • Documentation of proper installation may be required for warranty claims

7.2 Dry Cleaning Equipment

Special considerations for dry cleaning equipment include:

  • Parts exposed to solvents or chemicals cannot be returned

  • Items installed in dry cleaning machinery are non-returnable

  • Environmental and safety regulations prohibit returns of certain components
